From Employee to CEO: Lead Strategically with a Virtual Assistant

From Employee to CEO: Lead Strategically with a Virtual Assistant

Running a business is one of the most rewarding yet challenging ventures you can take on. Many entrepreneurs start their journey by doing everything themselves – from managing client emails and scheduling appointments to handling social media and invoicing. While this “all-hands-on-deck” approach may be necessary in the early days, it quickly becomes unsustainable as your business grows.

The reality is that to truly scale and succeed, you must stop acting like an employee in your own company and start thinking like the CEO. This means shifting your focus from everyday tasks to strategic leadership – setting vision, driving growth, and making high-level decisions that shape the future of your business.

One of the most effective ways to make this shift is by hiring a Virtual Assistant (VA). A VA, particularly a skilled Filipino VA or experienced offshore staff, can take on the operational tasks that eat up your time, allowing you to concentrate on what matters most: leading your business.

The reality is that to truly scale and succeed, you must stop acting like an employee in your own company and start thinking like the CEO. This means shifting your focus from everyday tasks to strategic leadership setting vision, driving growth, and making high-level decisions that shape the future of your business.

One of the most effective ways to make this shift is by hiring a virtual assistant (VA). A VA, particularly a skilled Filipino VA or experienced offshore staff, can take on the operational tasks that eat up your time, allowing you to concentrate on what matters most: leading your business.

Why Business Owners Stay Stuck Doing Everything

It’s common for business owners to get trapped in the “doing” phase. The drive to keep things running smoothly often leads to spending long hours juggling emails, client communications, and administrative work. While these tasks are essential, they are not where your greatest value lies.

When you work in your business instead of on it, you limit your ability to innovate and grow. This constant firefighting mode can cause burnout, overwhelm, and frustration. You may find yourself missing opportunities for networking, strategic partnerships, or developing new products or services simply because you’re too busy managing day-to-day operations.

Hiring a Virtual Assistant can break this cycle. By delegating routine and time-consuming tasks to your VA, you step into the CEO role – one focused on vision, strategy, and growth.

What Does It Mean to Be a CEO?

The CEO’s job is to steer the ship, not row it. As CEO, you are responsible for:

  • Setting the company’s long-term vision and goals

  • Leading your team with clear direction and inspiration

  • Making strategic decisions that drive growth

  • Building strong relationships with partners and clients

  • Identifying new business opportunities and innovations

This is very different from being the one who responds to every email or schedules every meeting. To do this effectively, you need to delegate operational tasks – this is where your Virtual Assistant comes in.

How a Virtual Assistant Supports the CEO Role

A virtual assistant is a remote professional who handles administrative, operational, and specialised tasks tailored to your business needs. Unlike traditional employees, VAs work offsite, often providing flexible, on-demand support.

Filipino VAs have become highly sought after globally due to their excellent communication skills, cultural compatibility with Western businesses, strong work ethic, and competitive rates. Hiring offshore staff from the Philippines offers a cost-effective way to add professional support without the overheads of local hires.

Tasks your VA can manage include:

  • Email and calendar management

  • Customer service and live chat support

  • Social media scheduling and content creation

  • Data entry and document preparation

  • Bookkeeping and invoicing

  • Research and lead generation

  • Website updates and SEO optimisation

By entrusting these tasks to a VA, you gain back hours each week to focus on your CEO responsibilities.

Benefits of Hiring a Virtual Assistant

Hiring a Virtual Assistant is more than just offloading work – it’s a strategic business move with numerous benefits:

  1. Time Freedom to Lead
Delegating routine tasks to a VA frees up your time and mental energy. This allows you to focus on growth strategies, client relationships, and business innovation.

  2. Cost Savings
Hiring offshore staff, especially Filipino VAs, can be significantly more affordable than employing full-time local staff. You pay only for the hours or services you need, avoiding costs like office space, taxes, and benefits.

  3. Flexibility and Scalability
VAs provide flexible support. You can scale hours up or down according to your business demands – perfect for seasonal fluctuations or project-based work.

  4. Access to Diverse Skills
Many VAs specialise in areas such as marketing, bookkeeping, customer service, or graphic design. This gives you access to expertise that might otherwise be costly or unavailable locally.

  5. Improved Productivity and Efficiency
With a dedicated VA handling the operational workload, business processes become smoother. Your VA ensures tasks are done on time and nothing slips through the cracks.

  6. Extended Business Hours
If your VA is based in a different time zone, your business can operate almost 24/7. This is invaluable for customer support and industries needing rapid responses.

What Tasks Should You Delegate to Your Virtual Assistant?

Knowing what to delegate can be tricky, but here are common tasks to consider handing over to your VA:

  • Managing and replying to emails

  • Scheduling meetings and managing calendars

  • Handling customer enquiries and complaints

  • Social media posting and basic content creation

  • Bookkeeping, invoicing, and expense tracking

  • Conducting market research and competitor analysis

  • Assisting with project management tools and document preparation

By delegating these operational responsibilities, you empower yourself to focus on leadership and strategic growth.

How to Hire the Right Virtual Assistant

Hiring the perfect VA requires careful planning. Follow these steps for success:

  1. Identify Your Needs
Write down the tasks you want to delegate and the skills required.

  2. Set a Budget
Determine what you can afford and consider the return on investment.

  3. Search for Candidates
Use trusted platforms or agencies specialising in Filipino virtual assistants or offshore staff.

  4. Interview and Test
Conduct video interviews and assign test tasks to gauge communication and skills.

  5. Provide Clear Onboarding
Set expectations, share business processes, and provide training.

  6. Establish Communication and Management Systems
Use collaboration tools like Trello, Slack, or Asana for smooth workflows.

Managing Your Virtual Assistant for Long-Term Success

To get the most from your VA relationship:

  • Set clear goals and deadlines

  • Schedule regular check-ins to review progress

  • Give constructive feedback and recognition

  • Encourage ongoing training and skills development

  • Foster a positive and respectful working relationship

Treat your VA as a valued team member – this leads to higher motivation and better results.

(VA Success Story) Freydick Corrales Cruz Story: How Trust and Collaboration Transformed Monkeys Education Agency.

Freydick Corrales Cruz Story: How Trust and Collaboration Transformed Monkeys Education Agency.

Trust and collaboration are essential in running a successful business, especially when juggling multiple responsibilities—managing operations, dealing with clients, and ensuring everything runs smoothly. For Freydick, the passionate mind behind Monkeys, this reality was all too familiar. His days were filled with admin tasks, client inquiries, visa applications, and endless calendar updates.

Despite the workload, he remained dedicated to helping international students find their path in Australia. To grow, he knew he needed help. That’s when he turned to Empowering Virtual Solutions (EVS) for support.

This is a story of persistence, trust, and the power of seeing potential in people—even when things don’t go perfectly from the start.

The Start of Freydick’s Journey with EVS

In June 2024, Freydick hired his first Virtual Assistant (VA), Joanne, through EVS. Aiming to free up time and focus on the bigger picture of Monkeys.

Joanne was brought in to handle the admin-heavy tasks:

  • Managing emails and updating websites
  • Scheduling appointments and calendar updates
  • Updating student records and visa applications

With initial adjustments, Freydick and the EVS team quickly worked together to set Joanne up for success. Regular support from EVS supervisors, Joanne received extra training in time management, calendar management, how to handle pressure, and overwhelm. This training helped Joanne grow in her role and become more confident in handling complex tasks.

A Valuable Lesson: The Power of Persistence

One of Freydick’s strengths as a business owner is his ability to see potential in people. With the support of the EVS team, Joanne refined her time management and productivity skills. Together, they structured a calendar that ensured efficiency.

By the sixth month, Joanne had become more independent, managing visa applications and Monkeys’s admin processes with minimal supervision.

Freydick noted:

“She’s reliable, easy to work with, and always willing to learn. We’ve had our challenges, but I’m proud of how far she’s come.”

Beyond Business: Freydick’s Contribution to the EVS Community

Freydick’s relationship with EVS goes beyond delegation. To support his students’ professional development and employment in Australia, last year he founded IDEAS, a marketing agency specializing in video and photography services. Through his IDEAS team, he became a valued supporter, sponsoring The Level Up Business Conference in March 2024 as the official videography and photography partner. His team captured key moments, making the event even more memorable.

Additionally, he has sponsored multiple face-to-face events, capturing moments that unite the EVS community.

A Growing Team and a Growing Business

His trust in EVS continued. In January 2025, he hired a second full-time VA to manage marketing and content creation for Monkeys.

Their new VA’s responsibilities include:

  • Creating and scheduling social media posts
  • Managing engagement and daily stories
  • Setting up event promotions
  • Producing content for TikTok and reels

Recent wins include:

  • Two visa approvals to close out 2024 and kick off 2025
  • Three new student enrollments
  • Joanne successfully organizing a webinar

What Freydick’s Story Teaches Us

Freydick’s journey with EVS highlights the importance of trust and collaboration. Building a successful working relationship takes time, patience, and effort—but when you invest in the right people and have the support of a dedicated supervisor, the results are worth it.

He frequently praises his supervisor Maria and the EVS team, for their attentiveness and guidance.

During one feedback session, he shared:

“Maria is always very attentive and willing to help. The EVS team is fantastic. They helped us manage everything during a challenging situation, and Joanne learned so much from that experience.”

“”Thank you for your help during the attempted hack; fortunately, we managed to keep everything safe by acting quickly.”. Joanne has also learned from this situation and we are using 1password already thanks to your suggestion. My 6 Stars is for the EVS Team as a group.”

With EVS support, VAs receive the training and guidance they need to succeed, making them valuable team members who can take initiative and grow alongside the business.

For Freydick, Joanne isn’t just a VA—she’s a reliable team member who helps him manage the daily grind, freeing him to focus on growing Monkeys and serving his clients.

(VA Success Story) Empowered for Growth: How Sell In Style Thrives with EVS Virtual Assistants

Empowered for Growth: How Sell In Style Thrives with EVS Virtual Assistants

Virtual Assistant support was the game-changer for Nando, the owner of Sell In Style Property Styling, when he first reached out to EVS. His challenge was clear: Systems, Processes & Efficiencies. As his business grew, so did the overwhelming administrative tasks, leaving little space to focus on scaling and innovation. Passionate about business strategies and effective processes, Nando knew that optimising operations was key to sustaining the fast growth of his business. Hiring a Virtual Assistant wasn’t just a luxury; it was a strategic move to keep delivering customer service excellence, offer support to his team, reduce costs, and scale his business efficiently.

Today, Nando’s story is a testament to how the right support can transform a business.

Here’s how his journey unfolded.

The start of a Virtual Assistant transformation

In July 2023, Nando welcomed his first full-time VA, Bea, into his business. Her primary focus was comprehensive support to his Assistant Manager on customer service and administrative tasks, Bea’s support was broken into over 95% of the admin workload and dedicating 5% of her time to marketing, Nando had already a Marketing strategy in mind, and he needed to plant seeds.

“Bea has been able to take over a lot of admin tasks, which used to consume most of my Assistant Manager’s time. She’s in control, and I feel confident Bea is under control with her administrative responsibilities. I trust her to get things done efficiently,” Nando shared during an interview with Francesca Moi in The Successful Entrepreneur Lounge.

Scaling with a winning strategy

By April 2024, the results spoke for themselves. With consistent monthly revenue of $50,000 from the first month of hiring Bea, Nando realised he needed more support to scale further. He hired his second VA, who became his Executive Assistant (EA). This role balanced responsibilities between 50% admin and customer service, 40% finance, and 10% marketing.

“Having my EA on board allowed me to focus on strategic, growth-oriented activities while ensuring that my business operations remained seamless,” Nando explained.

In October 2024, Nando took another leap and onboarded a third VA, dedicated primarily to marketing. With 80% marketing tasks and 20% customer service/admin, the third VA is now

spearheading campaigns that enhance the company’s visibility and client outreach.

Why EVS was the perfect choice

When asked why he chose EVS, Nando didn’t hesitate:

“EVS showed good values, had strong processes in place, and trained their team exceptionally well. They didn’t just provide VAs; they provided clarity on how to create a business that truly adds value to its clients.”

The EVS onboarding process was also a game-changer. “It gave the structure my team needed to seamlessly integrate our VAs into the business, ensuring they could support and execute our processes and goals effectively.”

Virtual Assistant support that drives success

Working with EVS doesn’t stop at hiring. Nando highlighted the role of EVS supervisors, who provide ongoing support and guidance to ensure VAs perform at their best.

“The supervisors have been instrumental in maintaining high-quality work standards. They offer an extra layer of assurance that my team is aligned with our goals,” Nando shared.

Future goals and the role of VAs

For Nando, the future is all about growth and expansion. “We aim to broaden our services and continue scaling. Our VAs are key to this, as they execute and support the processes that drive us toward our goals.”

With the help of his VAs, Nando feels supported and empowered, knowing that his team is not only capable but also adaptable to changes and trends.

Why every business owner should consider a VA

When asked why he believes other business owners should hire a VA, Nando was candid:

“To grow and scale, you need time to focus on what truly matters—strategy and business growth. A VA allows you to reclaim that time.”

The Unicorn factor

Are Nando’s VAs unicorns? Absolutely! Each has seamlessly integrated into his business, transforming overwhelming workloads into manageable processes. They’ve empowered him to focus on scaling, knowing that the day-to-day operations are in capable hands.

Your turn to delegate and scale

Nando’s journey with EVS proves that hiring a Virtual Assistant isn’t just about getting tasks done—it’s about creating a foundation for growth, clarity, and long-term success.

If you’re ready to save time, reduce costs, and focus on scaling your business, why wait? Let EVS help you find your very own unicorn VA today.

(VA Success Story) From Burnout to Breakthrough: Nathan’s Transformation Journey with the Right VA

From Burnout to Breakthrough: Nathan’s Transformation Journey with the Right Virtual Assistant

Nathan, founder of Transform U Coaching, appeared successful but felt overwhelmed and unfulfilled. Leading hundreds each week, burnout and self-doubt took a toll on him. A few years ago, the constant demands drained him emotionally. But coaching led to a breakthrough—uncovering 7 keys to success that transformed his life. These keys became the foundation of The Transformation Formula, now helping others achieve their own breakthrough

The Need for the Right Support

“Nathan’s journey with his VAs wasn’t just about finding help—it was about finding the right fit. Before hiring his first VA, Nathan faced some major challenges in his business that were draining his time and energy.”

Technology: Nathan admits, “Technology is not my best friend; I need someone to help me with this.” His struggle with technology added unnecessary stress and took time away from the core aspects of his business.

Tasks He Didn’t Enjoy: Nathan didn’t enjoy the administrative work, repetitive tasks, editing videos, and sourcing photos for content. These were activities that drained him without adding value to his core goals of coaching and leading others.

Lead Generation: One of Nathan’s biggest challenges was lead generation. It consumed a lot of his time, leaving him little room to focus on what mattered most—building relationships and growing his coaching practice.

Nathan realised that he needed a virtual assistant (VA) who could alleviate these tasks and handle his social media to free up his time. However, it wasn’t just about hiring a VA; it was about finding the right one to match his specific needs.

The First VA: A Step in the Right Direction

Nathan hired his first VA on September 18, 2023, and the results were immediate. The new VA brought a fresh perspective and helped Nathan streamline key areas of his business.

Achievements in the First Month:

  • Social media was consistently posted, bringing much-needed consistency to Nathan’s online presence.
  • Administrative systems were updated and revamped, freeing up time for Nathan to focus on more strategic tasks.
  • The sales funnel and nurture sequence were upgraded, ensuring a more efficient conversion process for leads.

Achievements in the Third Month:

By month three, Nathan’s VA freed up time for networking and sales. Social media grew, a reusable content bank was created, and the website was updated. The email list expanded, supporting lead generation goals.

Overall Assessment:

Nathan rated his first VA 6/6 for their positive attitude, proactivity, and consistency. Despite the success, their working styles didn’t align, leading to a parting of ways. It was a valuable lesson in finding the right long-term fit

The Second VA: Trying Again

On March 25, 2024, Nathan brought in his second VA, hoping to find a better match for his needs. This VA was enthusiastic, driven, and had a fresh approach to Nathan’s business operations.

Achievements in the First Month:

  • The second VA developed brochures to enhance Transform U’s marketing materials.
  • They also created a social media plan, helping Nathan to focus on content strategy rather than the daily management of posts.

Overall Assessment:

While this VA brought enthusiasm, tenacity, and resilience to the table, Nathan rated them 5/6. Their creativity and drive helped move things forward, but the partnership didn’t feel like the perfect fit. It wasn’t about the VA’s abilities but the alignment of working styles. The decision was made to part ways after three months, reinforcing the importance of mutual fit in the long term.

The Third VA: Finding the Perfect Fit

“The Right Match for Lasting Success.”

Nathan’s third VA, who started on June 10, 2024, was a game-changer for his business. This VA was not only highly skilled but also aligned with Nathan’s work style and goals.

Achievements in the First Month:

  • The website was completely updated, with a fresh, more professional look and feel.
  • Consistent social media posting helped to maintain an active presence and engage Nathan’s community.
  • Administrative files were organized and updated, improving the overall efficiency of the business.
  • A social media content calendar was developed, streamlining the process of creating and scheduling posts.

Achievements in the Third Month:

By the third month, Nathan saw a significant transformation in his business. The website underwent further development, and social media began to take on a more cohesive and engaging look.

This VA freed up over 20 hours per week for Nathan, allowing him to focus on his passion for coaching and serving his clients.

Overall Assessment:

Nathan rated his third VA 6/6.This VA was a perfect fit for Transform U Coaching, and their work has allowed Nathan to experience true freedom in his business.

The Right VA for Nathan’s Breakthrough

Nathan’s journey to success was a process of trial and error in finding the right support. His first two VAs brought valuable lessons, but it wasn’t until he found the third VA that things truly clicked. This VA allowed Nathan to break free from burnout, streamline his business operations, and focus on what he loves most—helping others achieve their breakthroughs.

Transform U Coaching continues to thrive, thanks to the perfect match between Nathan and his VA, proving that success is not just about what you do but who you do it with.

(VA Success Story) VA and CEO Work Relationship: How to Make It Work

VA and CEO Work Relationship: How to Make It Work

Are you planning to hire a Virtual Assistant, but you don’t know how to manage an employee working remotely? Or maybe you have one on board already, but things are not working with both of you. In this blog, let’s delve into Alexandra Burgaretta’s experience on how she and her VA worked together to be able to grow her business.

The birth of Espresso Accounting

Though COVID-19 had brought economic crisis, Alexandra turned the table and entered the business world. From being a manager in an accounting firm, she started her business, Espresso Accounting. It is a mobile boutique accounting practice based in Gold Coast.

It was challenging for her to run her own business, but she also finds it incredibly rewarding. Her business gave her the opportunity not only to earn a living, but also the break to have control over her own life.

Espresso Accounting, though it just started a few years ago, made a lot of progress. From having only seven clients, it grew to more than a hundred clients, which made Alexandra’s revenue more than double than before. Though her business is already making headway in its first few years, it wasn’t smooth sailing. It was a challenge to her to do all the tasks all by herself. She was drowning in admin work. It was then she decided to hire a VA and delegate the admin work so she can be the CEO of her own business.

VA and CEO

Stepping into the shoes of a CEO

When Alexandra decided to hire a Virtual Assistant, that’s when she also stopped playing small and started to step into the shoes of a CEO. Her game plan was to free herself up by delegating mundane tasks to her VA in order for her to focus on more important tasks.

In an interview with Francesca Moi, CEO of Empowering Virtual Solutions, Alexandra shared how delegating tasks to her VA helped her to become a more credible business owner.

“I didn’t really have time for anything else in my business besides getting through the work. Having her there has created that visibility for my business and given me credibility as a business owner. So I can be that industry leader, so I can be that person, the go to person in my industry.”

Investment of time: Slow down to go fast

One of the concerns of some business owners for not hiring a VA is that they don’t have time to train someone. Even Alexandra was hesitant to hire a VA at first. She wanted a break from managing people after having been a manager in her previous firm, but she knew that she couldn’t really grow her business if she was spending all of her time doing admin work, and not being able to meet with her clients or do productive work that would be billable.

“You have to invest the time for them to grow and learn what your expectations are, what you actually need, how you work, what your brand is, they’re not going to know that they’re not psychic, you need to actually train them and spend the time and I see it as an investment of time.

I think you’re not going to grow your business until you invest in it. So, I think it’s an investment in getting rid of the things that you don’t need to be doing so that you can spend more time on the value-added money-making tasks in your business. Because if you’re spending fifty percent of your time, like me, doing admin or social media, instead of actually networking and reaching out to prospective clients, you’re not going to grow your business, so you need to free yourself up to be able to grow.”

Spending time training your VA is a long-term investment. It requires time and patience, but it will save you time in the long run. This is the part when you have to slow down to go fast.

Communication is key

Communication is key to successful delegation. Regular communication ensures both the VA and the CEO are on the same page and allows them to discuss ongoing projects, clarify doubts, provide feedback and to address any concerns promptly. Scheduling daily check-in sessions is a great way to avoid getting your wires crossed.

It also builds a great relationship and connection between the VA and the CEO. Taking the time to get to know your virtual assistant and show appreciation for his work can help to create a sense of loyalty and motivation to continue doing great work for your business.

As for Alexandra, she made it a priority to communicate with her VA daily.

“The first month was really critical in terms of building rapport. I know that it wasn’t compulsory, but I made it a priority to have a scheduled Zoom call every single morning. And it’s just to maintain that rapport and to talk about what’s happening in our lives. And what we did on the weekend.”

Her VA is her Unicorn

In the interview, Alexandra shared how grateful she is for having her VA on board and what are the accomplishments she made after that.

“I wasn’t even on Instagram before (last year). So, now I’m on Instagram and without her support, I couldn’t have started publishing my own podcast, the Freedom Fridays Movement on Spotify.”

“I also was able to earn an award in my industry last year as the industry leader of the year, because of that podcast. And I tell you why, if I was the one trying to publish or edit a podcast and post it on social media, it would be a nightmare.”

“I was going to say the biggest win for me, obviously, being an accountant was that she already had bookkeeping experience. So, I was able to hand off all of my internal bookkeeping to her so I could focus on making money through my clients work. So, she’s definitely a unicorn and she knows bookkeeping, too.”

“My VA is one of the most beautiful human beings I’ve ever met. And I’m so grateful to know her.”

(VA Success Story) Lorna’s Realisation After Hiring Her First VA For Her Business

Lorna’s Realisation After Hiring Her First VA For Her Business

Introduction

Lorna is an amazing Author and the Owner of the Australian Tapping Institute. Her greatest passion is to help women to heal their past, take back their power, and let their confidence shine through.

She is already a successful business owner on her own but when she hired her first Virtual Assistant from Empowering Virtual Solution, she never looked back!

Despite being a successful woman, Lorna enrolled herself in Sold Out Business Academy (S.O.B.A.) and joined the Empowering Virtual Solution founded by Francesca Moi.

A One-woman-team

In her business, she gets a lot of students coming in. It was a good pace, but she did not realise how disorganised she was until she got her virtual assistant from Empowering Virtual Solution (EVS). Lorna thought that she was doing good in her business since she was earning that good amount of numbers already.

To keep this business in a good space, she spends a lot of time getting her files organised and market her programs, she’ll be up as early as three o’clock in the morning doing all of these in social media. By doing these stuffs, Lorna gets exhausted and thought that she cannot continue with this anymore.

The Game Changer

Lorna cannot stop what she was doing for her business and at that moment, she knew she needed some help, so she decided to hire her Virtual Assistant from her coach, Francesca Moi, VA Agency.

This decision is definitely a GAME CHANGER for Lorna. The virtual assistant she hired knows how and what to help in her business. She only has to walkthrough her VA around her business and if the VA doesn’t know about some things, she takes the initiative to find out what to do, and comes back to Lorna then they can discuss what needs to be done.

Her Virtual Assistant’s name is Leslie. Leslie has helped Lorna to be organised and consistent when it comes to data filing and gaining traction on social media platforms so her business can be consistently visible to potential clients. They also both came up with a structure for the business, for example, Leslie can repurpose live videos of Lorna by transcribing it and use it to make new contents to post on social media platforms not just for the day but even weeks in advance. Leslie can prepare posts for the week or two from the transcriptions of the live videos and Lorna just have to check and approve it. Simple as that!

The Dream Team

Above statements are just some of the many things Lorna’s VA can do to her business. Leslie makes Lorna’s life a lot easier than before and Lorna has got her time back and not just spend all of it in her business. The VA knows how to do it all but of course, still with Lorna’s guidance. They make sure that they work as a team.

This will not be possible without the help of a successful Academy and Agency of Francesca Moi. Francesca makes sure that her clients’ businesses are on the right path at the same time, she highly trains the virtual assistants with her team before handing them over to the clients. The company has tools and modules for both client and the virtual assistant so they can work better together and be the best team that they can be!

(VA Success Story) One & Done: Bidding Farewell To Tedious Tasks

Hiring a Virtual Assistant: One & Done – Bidding Farewell to Tedious Tasks

Megan Winter

Have you ever felt overwhelmed by the sea of repetitive tasks that seem to never end? Megan, a Digital Marketing Agency Owner and Consultant, found a solution to this common problem. In this blog, we delve into Megan’s journey towards greater productivity and efficiency by bringing her first VA on board.

Lume Marketing, Behind The Scenes

The journey of how Megan got started in the business world is a bit unconventional. Megan have been running her own business for over 11 years now, and it all began with an unexpected twist.

From studying occupational therapy at university to making the decision to drop out and stumbling upon a job at a medical research institute, which surprisingly led her into where her marketing journey began.

From that point on, Megan eventually took the leap to start her own business at the age of 24. Back then, social media was still in its infancy, but she stayed at the forefront of marketing trends, adapting to new technologies and strategies as they emerged.

eCommerce Rising From Being A Mom

Hiring a Virtual Assistant

Starting out, Megan’s goal is to help businesses grow as a whole, not just in one specific area. This approach led her to purchasing her own eCommerce store last year.

Megan, who later acquired an eCommerce store selling color-coded kids’ socks, was initially a loyal customer herself. The socks featured a clever color-coding system, making it easy for her to distinguish between her kids’ socks, simplifying daily routines.

Despite the product’s brilliance, the previous owner’s marketing strategy wasn’t quite hitting the mark. She was targeting the wrong audience, focusing on children instead of parents who make the purchasing decisions. Moreover, she was selling socks when she should have been selling convenience, sanity, and problem-solving.

This experience taught Megan a valuable lesson: Businesses often underestimate the deeper value they provide to their customers. It’s not just about the product or service; it’s about the solutions and improvements it offers in people’s lives.

As a mother of two with three businesses to manage, Megan understands the challenges of juggling multiple responsibilities. This understanding drives her to help businesses effectively communicate their true value to their target audience.

Blocks Megan Used to Have

In the world of business, it’s easy to get caught up in trying to do everything at once.

As someone who came from a 9-5 job, She had the mindset that she can do all the work by herself and not having to ask for help, but it’s important to understand that just because you can do everything doesn’t mean you should.

So, as Megan’s business grows, she expands her team and improves their system organisation. Now, they will have the capacity to take on additional tasks while she concentrates on tasks that truly drive value and impact.

Scaling with VAs: What you need to know

When Megan was just starting with a Virtual Assistant (VA), there were a lot of teaching and showing the way how Megan liked things. It’s not much different from bringing any new staff member into a business.

In an interview with Francesca Moi, CEO of Empowering Virtual Solutions, Megan shared that, “With any staff that come into your business, you need to take the time to show them your business, your expectations, your values and your way of being.”

Megan’s journey with a VA is a process of continuous improvement and fine-tuning. It’s not a one-size-fits-all solution, but rather a dynamic partnership that evolves over time. She constantly adds new tasks to the VA’s workload, recognising that there’s still untapped potential waiting to be leveraged.

VA-VA-Voom: What Megan gained from hiring a Virtual Assistant

Megan’s journey to hiring a virtual assistant (VA) was a life-changing experience for her. She could share ideas with her VA anytime, even on her way home from the school run.

“My VA allowed me to experience that I might be going from the school gate to my car and have an idea, I’ll put it in Slack and I’ll say, ‘hey, by the way, we’re doing this, and then by the time I’ve driven home, it’s done.”

This new collaboration and partnership allowed Megan to offload her ideas and have someone accountable for executing them.

Thinking of hiring a VA? Do it NOW.

Hiring a Virtual Assistant

Megan’s advice to those doubting the need for a VA is clear. If you’re thinking about it, you’re ready. Don’t postpone it until you’re overwhelmed. It’s best to bring in a VA when you’re not at full capacity. If you’re uncertain whether a VA is right for your business, consider tasks you repeat often or me candidates for delegation.

Megan highlights the potential of VAs to unlock massive opportunities in your business. Virtual Assistants can handle tasks like marketing, which may seem faster to do yourself initially but can be more efficiently managed by a dedicated assistant.

“If you’re thinking you’re not sure if a VA is right for your business or not, you just need to think. Are there any activities in your business that you do more than once? If the answer is YES, then you can get a VA to do that. If you’re thinking you need a VA, well, then you do need a VA and you should probably do it. NOW.” – Megan Winter

As your business grows, it’s crucial to shift roles away from the CEO and let others handle specific tasks. Megan’s changing goals emphasise the desire for achieving the same results with less time investment. So, if you’re thinking about getting a VA, Megan’s advice is simple “Don’t delay, seize the opportunity to enhance your business efficiency and growth”.

(VA Success Story) Dynamic Duos: The Secret Sauce Behind Their Success

Hiring a Virtual Assistant: The Secret Sauce Behind Tasha and Brendan’s Success

The Turning Point for Tasha and Brendan

In a world that thrives on collaboration and innovation, the concept of a successful duo has proven time and again to be a powerful force driving achievements across various industries. Hiring a Virtual Assistant can be the turning point when even the strongest partnerships start to feel overwhelmed. The synergy between two individuals can elevate a business to new heights, but growth often brings added pressure. In this blog post, we shed light on how Tasha and Brendan Tiballs used hiring a Virtual Assistant as a game-changing solution that contributed to their business’s success.

Tasha and Brendan, a long-time couple with over 15 years of experience, shared a passion for media, design, marketing, advertising, and customer service. The scope of their business includes providing social media, websites, lead generation, email, automated systems, and email marketing services to their clients. You could say this couple is truly a one-stop shop. They started the business during COVID and for them, it was a tough time to kick off a new business. But rather than succumbing to uncertainty, they saw an opportunity to channel their expertise into something impactful. Fuelled by their passion for helping small to medium businesses thrive in the digital age, they decided to launch a digital scaling agency.

With businesses transitioning to remote work and consumers spending more time online, Tasha and Brendan recognised the growing importance of a robust online presence. They were able to build their own strong online presence and were considered trusted advisors in the digital marketing space.

Through determination, Tasha and Brendan’s agency started gaining traction. But with success come challenges. Being parents of two beautiful children, they strive for the best for their family but wanted to grow their business at the same time. Soon enough, they got to the point where they felt it was a little overwhelming and thought they probably needed some help along the way.

In an interview hosted by Francesca Moi, a Business Advisor and Mindset Coach of Empowering Virtual Solution, they mentioned that there were times when there was all this work that was not getting done. As Brendan said,

“…there’s all this work that’s not getting done or having to stay up until midnight every night but you’ve got such a big day the next day or you’ve got meetings, but you’ve got work that needs to be done as well.”

Hiring A Virtual Assistant (2)

Hiring a Virtual Assistant Changed Everything for This Dynamic Duo

Soon enough, they found themselves meeting with Francesca who also recruits and trains Virtual Assistants to provide support for fellow business owners. One day, they sat down and filled out Francesca’s VA 100-item checklist, and before they knew it, they had 40 hours’ worth of work that they could allocate to their chosen Virtual Assistant. As a result, they were able to get their precious time back.

As Brendan mentioned in the interview,

“By taking that time off, it effectively allowed us to be more in the sales role and bring the business through the door, meeting the new clients, getting out, and doing face-to-face meetings and networking.”

Being the successful duo that they are, they still work extremely hard but allowing themselves to pass along 40 hours a week and focus more on building their business was like a breath of fresh air for these two.

Aside from that, they were able to put more time into their family which is their main focus and drive behind being able to provide a life with financial freedom.

With a weight lifted off their shoulders, Tasha and Brendan had the mental space to strategically plan for the future. The partnership with their Virtual Assistants enabled them to envision long-term goals, develop comprehensive business plans, and position their ventures for sustained success. Both were awed by the sheer efficiency their Virtual Assistants brought to the table. In the interview, Tasha spoke highly to one of their Virtual Assistants, Ada.

“Ada has allowed us to be a lot more confident. Because we’ve put ourselves in a position where we have all those procedures in place. And we are super confident in Ada’s abilities, and obviously, the fact that we can work with an external staff member. But to us, she’s part of the team.”

For this duo, being able to grow with their Virtual Assistant is the main key to their success. Brendan mentioned that as soon as they got Ada on, their business just blew up, and having her there gives them the support and the confidence to say, in his words, “I know the work is getting done.”

At the same time, as CEOs of their thriving business, they also wanted to continue learning and growing themselves. As a result, they are constantly on the lookout for extra advice, training, and mentorships from their fellow business owners.

This dynamic duo’s relationship with their Virtual Assistants extended beyond the realm of business. They both realised that their Virtual Assistants were integral to their successes and acknowledged them as part of their family who contributed to the growth of their dreams.

By embracing the power of delegation and partnering with a virtual assistant, Brendan and Tasha were able to unlock new levels of success for their business. Their story highlights the importance of clear communication, creating procedures, and implementing a reward system while also emphasising the significance of choosing the right outsourcing provider like Empowering Virtual Solution. With their newfound success, Brendan and Tasha now hired another Virtual Assistant to help and support Ada (their VA) and to focused more on continuously learning and growing, ensuring their business thrives and their goals are well within reach.

So, if you are ready to live the life you are dreaming of and spend your time with your family but still earning $$$.

(VA Success Story) CEOs Who Achieved Business Growth with Virtual Assistants

CEOs Who Achieved Business Growth with Virtual Assistants

Business Growth with Virtual Assistants has transformed the way entrepreneurs scale and adapt to challenges. In the journey of life and business, there are certain moments that leave a mark, imparting invaluable lessons that shape our perspectives and approaches. One such lesson is beautifully captured by the statement, “I think the biggest learning is to go with the program. What you think you know is not what you need to do.”

These words resonate deeply with the experiences of entrepreneurs who have witnessed extraordinary growth by embracing change and exploring new avenues. A remarkable example of this transformation is Sharon Veness, a Transpersonal Art Therapist and the Founder and CEO of Sharon Veness Art Therapy.

Before the pandemic, Sharon’s art classes were a resounding success, generating a steady income of approximately $7,000 per month. Her art classes were unlike anything traditional; they had the power to transform people through art, making a profound impact on her clients. However, when COVID-19 struck, the world came to a halt, and so did Sharon’s thriving business. The inability to serve her clients in person due to the pandemic was a devastating blow.

In the face of adversity, Sharon refused to give up. She sought guidance and joined Sold Out Business Academy aka “M.A.F.I.A. Academy” to find new ways to navigate through the crisis. This decision proved to be a pivotal moment in her entrepreneurial journey.

Under the guidance of the S.O.B.A. Academy, Sharon began implementing a series of strategies aimed at reaching her target audience and continuing her transformative art workshops.

  1. Creating a Meetup Group: To connect with local art enthusiasts and like-minded individuals, Sharon created a Meetup group. This allowed her to expand her network and attract potential clients interested in her unique approach to art therapy.
  2. Establishing a Facebook Group: Understanding the significance of online communities, Sharon created a Facebook group where she could engage with a broader audience, share her expertise, and build a community around her art therapy mission.
  3. Harnessing the Power of Social Media: Sharon stepped up her online presence, embracing various social media platforms, including engaging in live sessions. This approach allowed her to showcase her passion, expertise, and dedication, resonating with a broader audience.
  4. Conducting Workshops: Sharon took her art therapy workshops online, adapting to the new normal. These workshops provided individuals from different parts of the world with an opportunity to experience her transformative art therapy sessions.

Business Growth with Virtual Assistants: Sharon’s Turning Point

The results were astounding! Sharon’s commitment and innovative strategies paid off, and her business began to thrive once again. By leveraging the power of online platforms and adapting to the changing landscape, Sharon achieved a staggering $9,500 per month! In just three months, she generated an impressive $20,000 solely from her workshops. This remarkable success is a testament to her unwavering passion and the effectiveness of the strategies she implemented.

Recently, Sharon celebrated her first work anniversary with her virtual assistant (VA), marking a moment of triumph and accomplishment. As her business witnessed phenomenal growth, Sharon couldn’t be prouder of her team and the acknowledgement and appreciation she shares with her VA. This milestone is a testament to the power of collaboration and effective team management.

Sharon’s journey is a perfect example of the untapped potential that lies within a well-managed business. Despite having setbacks, Sharon realised that there were still avenues to explore and heights to conquer. Taking a leap of faith, she decided to bring a VA onto her team, hoping for growth but unsure of the magnitude it would bring.

Business Growth with Virtual Assistants allowed Sharon to scale her business effectively by embracing change and delegation. By offloading tasks to her VA, she was able to focus on her core strengths, while her VA efficiently handled various operational and marketing aspects, leading to newfound success and business growth.

Beyond trust and delegation, Sharon emphasizes the importance of effective communication and consistency. These two elements are crucial in ensuring that the entire team remains aligned and working towards common goals. Regular communication keeps everyone aware of their roles and responsibilities, while consistency establishes a strong foundation for long-term success.

Sharon Veness’s journey as a Transpersonal Art Therapist and entrepreneur showcases the transformative power of trust, delegation, effective communication, and consistency. Celebrating her first work anniversary with her VA, she stands tall amidst the phenomenal growth her business has achieved. Embracing change and going with the program has led to success.

So, the next time you contemplate expanding your business or taking a leap, remember Sharon’s story – the story of growth through collaboration and unwavering determination.
